Holiday booking

Holiday that is asked for, not just taken

The crew ask from their phones, in whole or half days, and see who else is off. Only the people you choose can say yes. The balance is counted from what is booked, so it never drifts from the timesheets.

How a request works

From a tap on site to a day on the timesheet

Nothing goes on anybody’s timesheet until an approver says yes. Then it books itself.

01

Ask

A first day and a last, whole or half days. Weekends and bank holidays are skipped on their own.

02

See who else is off

Before it is sent, the request names anybody else off on those days. It warns; it does not block.

03

Approve or decline

An approver books it, or declines with a reason. Approving also names anybody already off.

04

Booked

The days go onto the person’s timesheet as holiday, and their balance moves with them.

For the crew

Their days, on the Holiday tab

The Holiday tab on the crew’s phone shows what they have and what they have asked for, in one place.

  • Days left, taken and still to come, with every request and where it has got to.
  • Withdraw a request while it is still waiting, or cancel holiday already booked.
  • Over the allowance? They can still ask. It shows in red, and the approver decides.
  • Only names and dates. Who else is off is the one thing the crew ever see about each other — nothing more.

Asking for holiday, step by step

My week on a phone, with a holiday morning booked on Wednesday beside the hours worked on the other days, and the week's total split into standard and holiday.

For the office

The people you choose, and nobody else

Holiday has its own screen in the office, with the requests waiting badged in the sidebar and on the dashboard.

Who approves

An owner ticks which office sign-ins may decide holiday — including an owner with no employee record of their own. Nobody is ticked to begin with.

Never your own

Nobody approves their own request, whoever they are.

Not into a signed-off week

Holiday cannot be approved onto a day inside a week that has already been approved.

Balances

A balance that cannot drift from the timesheets

Days taken are never typed in. They are counted from the holiday actually booked, so the number on the screen is always the number that happened.

Entitlement per year

Set per person per holiday year, with carry-over and an adjustment for anything unusual.

The new year looks after itself

A year nobody has set up starts on the previous year’s entitlement, with nothing carried over, so nobody has to be at a desk on the first day of it. A year that has been set always wins.

Questions

About holiday booking

Who can approve holiday?

Only the office sign-ins an owner has ticked as approving holiday. Nobody is ticked to begin with, and nobody can approve their own request.

Can staff book half days?

Yes. A request runs from a first day to a last, in whole or half days, and skips weekends and bank holidays on its own.

Can somebody book more holiday than they have left?

They can ask; the request is not blocked. Going over the allowance is shown in red to them and to the approver, who decides.

How is the holiday balance worked out?

Days taken are never typed in. They are counted from the holiday actually booked onto timesheets, so the balance cannot drift from what happened. Entitlement is set per person per year, with carry-over and an adjustment.

What happens at the start of a new holiday year?

A year nobody has set up starts on the previous year’s entitlement, with nothing carried over. The office can set the new year whenever it likes, and a year that has been set always wins.
