Inviting the crew and resetting passwords
Letting people in, getting them back in, and keeping leavers out.
Sending an invitation
- Open the person on Employees and go to the Access tab.
- Type their email address and choose Send an invitation.
They get an emailed link on which they choose their own password, so nobody in the office ever knows it. The link works once and lasts seven days; sending another stops the first one working. Point them at Signing in for the first time.
No email address?
Give a password instead makes a one-time password, shown once. Read it to them; they must change it the first time they sign in. There’s no default password anywhere in the system.
What a sign-in can do
| Role | Can |
|---|---|
| Employee | Their own hours, holiday and materials — nothing else, and never any money |
| Admin | The whole office side |
| Owner | Everything, including admin sign-ins, roles and who approves holiday |
Only an owner can create an admin sign-in, change what a sign-in can do (the person is signed out and keeps their password), or turn on Approves holiday. An owner’s own sign-in can’t be changed from there.
Resetting somebody’s password
Most people can sort this out themselves with Forgotten your password? on the sign-in screen. When they can’t — no email on the account, the email can’t be reached, or they’ve been locked out by five wrong attempts — use the Access tab:
- Send them a link emails a link to choose a new password themselves. It works once and lasts seven days.
- Issue a new password gives you a one-time password, shown once, which they change at first sign-in.
Either way the account is signed out everywhere and any lockout is cleared. An admin can do this for the crew; for an admin or an owner, it takes an owner.
Leavers
Archiving an employee suspends their sign-in the same second, so a leaver can’t still send a week in. Nothing is deleted.
