Pay rates and pay rises

Rates are dated and never edited. A pay rise is one new rate with the day it starts.

Where rates live

Open the person on Employees and go to the Pay tab. On Details you set how they’re paid — Hourly, Salary or Subcontractor — and their contracted hours per day, which is what a holiday day is worth.

Giving somebody a pay rise

  1. On the Pay tab, add a new rate.
  2. Give it the date it starts. It can be in the future: it’s flagged as future until it takes effect.
  3. Save. The old rate stays exactly as it was, for the days before.

Hours worked in August keep being paid at August’s rate for ever, however many rises follow. Each day is priced at the rate in force on that day, so a rise on a Wednesday pays Monday and Tuesday at the old rate.

The rules about changing rates

  • A future rate can be withdrawn. One that has already taken effect can’t, because it may already have paid somebody.
  • A rate can’t start inside a week that has already been approved.
Somebody with no rate isn’t priced at £0. Their hours are counted and their gross is left empty and flagged — on the dashboard, the Timesheets board and the monthly report. “Nothing to pay” and “we don’t know yet” are different answers.

Salaried staff

Somebody paid Salary isn’t priced by the hour: the board and the monthly report show Salary instead of a gross. Salaried staff may not keep a timesheet at all, and the dashboard says so.
