Subcontractor hours

Hours that count on a job and never on pay. Subcontractors invoice for their time, so they fill in no timesheet.

Adding a subcontractor

Add them on Employees like anybody else, with Paid set to Subcontractor. Their record has two tabs, Details and Hours, in place of Pay, Holiday and Access.

They never sign in and can’t be invited, and they never appear on Timesheets, the monthly report or its spreadsheet. The Subcontractors chip above the Employees list shows only them.

Entering their hours

  1. Open them on Employees, go to the Hours tab and choose Add hours.
  2. Enter one day on one job, off their invoice: the day; the hours (7.5 or 7:30); the job — type 26 156 or part of the title; fabrication or installation; and their invoice number.
  3. Save. The next new day starts from the one just saved — same job, hours and type of work, on the following day — so a week’s invoice goes in quickly.

Where the hours show

They count in the Hours column on the Jobs list and on the job’s audit report, which marks the person as a subcontractor with hours from invoices. A day removed is recorded as removed, not erased.

Subcontractor isn’t a switch. Somebody who can sign in, or has hours on a timesheet, can’t be changed to Subcontractor, and a subcontractor with invoiced hours can’t be changed back. Timesheet hours must stay on the pay report and invoiced hours must never reach it — add them as a new person instead.

Their materials

Subcontractors aren’t in the list when you add a material for somebody: they invoice for their own materials.
